General HR
Onboarding is the structured process of integrating a new employee into an organization — covering orientation, training, system access, document collection, and cultural assimilation — to accelerate their productivity and long-term retention.
Research by the Society for Human Resource Management (SHRM) shows that effective onboarding improves new hire retention by 82% and productivity by over 70%. Despite this, studies indicate that only 12% of employees strongly agree their organization does a great job of onboarding. A structured onboarding program typically spans 30 to 90 days and includes pre-boarding activities (offer letter, document collection, system provisioning), first-day orientation, role-specific training, introduction to team and workflows, and scheduled check-ins. In India, onboarding must also include statutory compliance steps such as collecting PAN and Aadhaar details, enrolling the employee in PF and ESIC, obtaining professional tax registrations where applicable, and completing Form 11 (PF declaration) and Form 2 (PF nomination). Digital HRIS platforms automate much of this checklist, reducing onboarding time and eliminating paper-based processes.
Effective onboarding typically spans 30 to 90 days, though some organizations extend structured programs to 6 months or a year. Research shows that longer, structured onboarding programs lead to significantly better retention and time-to-productivity compared to one-day orientations.
Indian onboarding typically requires: PAN card, Aadhaar card, educational certificates, previous employment proof, bank account details for payroll, passport/address proof, Form 11 (PF declaration), Form 2 (PF nomination), and ESIC enrollment forms. Companies also collect a signed employment contract and offer letter acknowledgment.
